Position Overview
We are seeking a highly organized, detail-oriented, and mission-aligned Executive Assistant to support the Board President and board leadership, in service to its members. The ideal candidate will pro-actively identify and resolve potential issues, anticipate the operational needs of volunteer board members, and support and ease their roles. They will have a strong background in executive administration and bookkeeping, and a demonstrated ability to manage multiple priorities in a dynamic, mission-driven environment. This role is best done by someone who does well self-managing their work priorities in a remote work environment. This is a critical role in ensuring the operational and strategic success of the organization.
Key Responsibilities
Administrative Support
  - 
    Provide high-level executive support to the Board President, including scheduling, email management, and correspondence.
 
 
 
- 
    Manage calendars, coordinate meetings, prepare agendas, take minutes, and track action items.
 
 
 
- 
    Serve as a liaison amongst the Board President, Board of Directors, committees, and members.
 
 
 
Bookkeeping & Financial Administration
  - 
    Maintain accurate financial records using QuickBooks or equivalent software.
 
 
 
- 
    Assist with budget tracking, accounts payable/receivable, reimbursements, and financial reporting.
 
 
 
- 
    Work with external bookkeepers, accountants or auditors as needed to support compliance and reporting.
 
 
 
Operational Management
  - 
    Support internal systems and external platforms for membership management, record keeping, and communications - including oversight and processing approval and administrative tasks related to continued education requests.
 
 
 
- 
    Track important due dates and tasks related to taxes, renewals and accounts. Coordinate with appropriate board members to complete tasks and payments. 
 
 
 
- 
    Help plan and coordinate virtual and in-person events, trainings, and meetings.
 
 
 
- 
    Maintain and organize digital files, ensuring easy access and alignment with data privacy practices. Familiarity with Google Admin products is needed. 
 
 
 
Communications & Member Relations
  - 
    Respond to member inquiries with warmth and professionalism.
 
 
 
- 
    Coordinate with board members and volunteers to support email newsletters, surveys, website updates, and outreach.
 
 
 
- 
    Help track and analyze engagement and support efforts to retain and grow membership.
 
 
 
Qualifications
Required
  - 
    Minimum 3–5 years of experience in executive-level administrative support and bookkeeping.
 
 
 
- 
    Strong organizational skills with exceptional attention to detail, initiative and follow-through. 
 
 
 
- 
    Proficiency in Microsoft Office, Google Workspace, QuickBooks (or similar software), and cloud-based platforms.
 
 
 
- 
    Excellent written and verbal communication skills.
 
 
 
- 
    Ability to work independently and manage multiple priorities with grace and efficiency.
 
 
 
- 
    Alignment with the organization’s mission and values, especially regarding social justice, anti-racism, and decolonized clinical practice.
 
 
 
Preferred
  - 
    Experience working with nonprofit or membership-based organizations.
 
 
 
- 
    Familiarity with the field of mental health, social work, or human services.
 
 
 
- 
    Experience coordinating virtual events or professional development programming. 
- 
    Passion and alignment with the values of social justice and supporting and expanding an organization to serve more people and increase impact. 
 
 
 
Compensation & Benefits

    Hourly rate commensurate with experience, range: $30–$40/hour.
